Dear Parents/Guardians:

Hanover County Public Schools (HCPS) is pleased to announce that it will begin using the Raptor Visitor Management System in all of its buildings this year as part of the ongoing commitment to enhancing the safety of our students, faculty, and staff. This new addition will allow our staff to know who is in the building at all times, such as volunteers, contractors, and other visitors, which is essential to maintaining a safe and secure environment. 

Upon entering the building, we will ask all visitors to present a valid state-issued ID, such as a driver’s license, which will be scanned into the system. The Raptor system will check the visitor’s name against a national sex offender registry database to prevent offenders from entering our buildings. It is important to note that the Raptor system only scans the visitor's name, date of birth, and photo for comparison against this database. The system does not collect any additional data from the visitor’s state-issued ID (e.g. driver’s license number) and is not connected to any other system, such as the Department of Motor Vehicles. Once entry is approved, the Raptor system will issue a badge that identifies the visitor (name and photograph), date, and purpose of his/her visit. The visitor will be asked to display the badge in a prominent location so that it is easily recognizable by HCPS staff.

During subsequent visits, visitors will only need to sign-in by using the bar code reader and the state-issued ID at the kiosk. The Raptor system will automatically check the registry and issue a badge with the same identifying information.

Please note, a visitor’s badge will not be necessary for those who visit our schools to simply drop-off an item in the office or pick up paperwork in the office. In the event that a person does not have identification, he/she may still be granted limited access to the building but must be escorted by a school staff member as time allows.
